The week before your event is both exciting and critical. With so much to coordinate, it’s easy for important details to slip through the cracks. Here’s the checklist we recommend to every client in the days leading up to their event.
1. Confirm arrival and setup times. Every vendor needs to know exactly when they can access the venue. Share our setup window with each vendor and confirm they can work within it.
2. Review the floor plan one more time. Even if you finalized your layout weeks ago, a quick review with your planner ensures nothing has changed and everyone is on the same page.
3. Confirm the headcount. Final guest counts affect catering, seating, and staffing. Make sure your caterer has the most up-to-date number.
4. Check the weather forecast. If any portion of your event involves outdoor elements, have a backup plan ready and brief your vendors on it.
5. Do a final walkthrough. If possible, walk the space the day before or the morning of your event. It gives you peace of mind and catches anything that needs a last-minute adjustment.
